Administrative Manager

Administrative manager is responsible for directing activities of subordinate staff in the coordination and management of various administrative activities for Hearts to Nourish Hope. Administrative identifies staff development and training needs and ensures that training is obtained. Works with financial officer with developing policies and procedures as it relates to Human Resources and payroll. Administrative manager works closely with the Chief Executive Officer, but reports directly to Associate Director of Education and Data.


Front Desk (serve as a backup to front desk as needed)
o Supervises front desk staff
o Ordering office supplies
o Ensuring all program information is up to date
o Ensuring brochures and media kits are up to date

Food Pantry
o Supervises food pantry staff
o Ensure policies and procedures are being followed

Human Resources
o Complete new hire paperwork and e-verify
o Identifying training needs
o Assist with development of policies and procedures
o Performs other duties as assigned

Career Case Manager

The Career Pathways Coach will provide job search assistance, job readiness instruction, embedded training, and coordinate on-site and off-site work experience opportunities. Provides youth with comprehensive and individualized case management that ensures student progress and job retention. Coordinates and manages the student's career pathway and infuses community resources into the program to enhance student achievement and success.

o Meet with each workforce development program participant upon enrollment to establish an individualized career training and placement strategy
o Facilitate weekly group workshops with participants and assist participants with creating a professional portfolio
o Work collaboratively with school administrators, Hearts staff and other job developer professionals to provide consistent job coordination for all students, customers, and community base organizations seeking to hire and promote job readiness for all Hearts clients
o Ensure safety, best practices and strong work ethics for all job readiness clients
o Identify appropriate career exploration activities and work experience and job placements
o Meet with program staff on a regular basis to ensure appropriate information sharing, coordination of program activities and service delivery
o Routinely use data and evidence-based practices to target sectors and employment partners to obtain job and internship opportunities
o Create partnerships with employers and enjoy working with high-risk youth and personnel
o Prepares and communicates job specifications and carefully matches potential participants
o Refers appropriate participants to potential employers for consideration of the job openings and provide consistent follow-up to employers after participants have received an official Hearts approval verification from the Associate Director
o Track employment placement outcomes and retention for program participants
o Ensure youth complete all necessary paperwork developed for the Career Pathways Program
o Updating Hearts database with case notes on each youth that comes through the Career Pathways Program
o Completing weekly goals assigned by associate director
o Actively following the youth assigned to your case load and offering them the services they are needed so they can meet their goals set forth in their ISPs
o Uploading counseling notes on VOS and Database as determined by associated director, either weekly or monthly
o Completing ISPs quarterly on paper and having youth sign as well as entering the ISPs onto the VOS
o Keeping up with youth progress and knowing when they have met their goals so they can be exited and moved into follow-up
o Completing counseling note report on time and sending it to your associate director
o Completing exit forms with the proof when a youth is ready to exit and sending to the associate director
o Keeping track of when a youth on your caseload turns 18 and obtaining proof of their Selective Service if applicable, and making certain Immigration Form is signed
o Responsible for being knowledgeable about services that can be provided to the youth
This means knowing what is offered by Hearts and being able to make referrals to other programs if needed
o Performs other duties as assigned

Requirements and Skills
o Bachelor's Degree or a minimum of 2 years of experience working with youth preferred
o One year experience in sales, marketing, employer development or placement related services
o Above average public speaking skills and experience in same
o Excellent verbal and written communication skills o Problem solving and conflict resolution skills
o Computer proficiency specifically Internet, E-mail, Excel and Microsoft Word
o Ability to work some evening hours and periodic weekends
o Ability to travel often (25% -35%) o Skills necessary to establish liaisons and interact with private and public employers/agencies
o Must possess a valid in-State drivers' license and meet the company insurability requirements
